You'll be right at the heart of our service operations, owning the coordination of jobs, maintaining our systems, and being the go-to support between technicians, sales, and our customers. In this role, you’ll be responsible for: Triaging service requests via HubSpot and phone (mostly email, some calls) Scheduling internal technicians and external contractors Monitoring job status and updating systems like Trello, HubSpot, and CYA Troubleshooting basic espresso machine issues over the phone (we’ll guide you) Managing asset records and supporting the processing of purchase orders and invoices Owning the Service inbox and being our first-line support for machine-related queries Partnering with teams across Sales, Tech, Inventory, and Warehousing for Tobys About you: Whether you’ve worked in service coordination, trades, admin-heavy roles, or fast-moving customer environments - you know how to stay cool under pressure and get things done. You’re organised, adaptable, and thrive when juggling tasks, systems, and conversations all at once. Clear communication is your superpower, and you're someone who takes pride in being the calm, capable presence that keeps everything moving. And the rest Proven experience managing multiple systems and handling customer queries on the fly Sharp written and verbal communication skills Ability to juggle competing priorities without dropping the ball Background in admin, customer service, or service coordination Team mindset - empathetic, proactive, and resilient Bonus points if you’ve worked in a café or know your way around espresso machines The details: This is a full-time permanent role based at our Alexandria HQ, working Monday to Friday You’ll join a small, close-knit customer service team with strong links to our tech and operations crews We’re office-first, but open to some flexibility for the right candidate The first 6 weeks will be fully office-based for hands-on training and onboarding Ready to jump in?
