We’re seeking a real estate operations professional to play a key role in maintaining smooth operations and supporting our "The Difference" brand positioning. About the Role: This dynamic and varied role will see you overseeing front reception, supporting the Director, and assisting with a wide range of tasks across sales, marketing, and property management. You’ll play a key part in maintaining a professional office environment, ensuring smooth operations, and helping implement "The Difference" in everything we do. Your Responsibilities: Reception, Customer Service & Office Management Oversee front reception, ensuring a professional and welcoming experience for all visitors and clients Manage incoming calls, emails, and client enquiries with a helpful and courteous approach Maintain the presentation of the office, including the kitchen and open-plan areas Maintain office equipment and manage office supplies Collect, scan, and distribute daily mail Marketing & Operations Support Create and schedule content across social media platforms (Instagram, Facebook, LinkedIn) Prepare general marketing materials for agents, including business cards, brochures, flyers and digital ads Assist with basic bookkeeping tasks including entering invoices into Xero Support HR processes such as onboarding, offboarding, training, and team engagement Assist in organising company events, team celebrations, EOFY, and Christmas functions Provide administrative and personal assistance to the Director and Operations Manager Sales Assistance Prepare appraisal packs, listing kits for the sales team Organise key packs and coordinate new listing administration Prepare and distribute open for inspection packs for sales properties Assist agents with offers and contracts Maintain and update weekly stock reports and internal sales data Provide general administration support to the sales team including but not limited to printing, scannin, documentation, and assistance with property inspections as required Rentals Assistance Organise key packs and documentation for new rental listings Coordinate rental advertising, process applications, and organise lease agreements Coordinate tenant key collection appointments Maintain and update weekly stock reports and internal rentals data Provide general administration support to the property management team including but not limited to printing, scanning, documentation, and assistance with property inspections as required What We’re Looking For: Previous experience in a real estate office management role is essential Knowledge of trust accounting and Xero is highly regarded Agent’s Representative Certificate (mandatory) and the ability to provide a Police Check Strong organisational skills, attention to detail, and the ability to meet deadlines Tech-savvy and experience with Canva, social media platforms, and CRM software Excellent communication skills, both written and verbal A positive team player who enjoys contributing to culture and team success Ready to Apply?
