We're looking for experienced, enthusiastic and highly organised Executive Assistants to manage the office of at least one Senior Executive (SES Band 1, SES Band 2 or SES Band 3). To succeed in this role, you will have great people skills, the ability to anticipate the needs of Senior Executives and demonstrate flexibility and resilience. The Executive Assistant Temporary Employment Register is open for eligible candidates to register an Expression of Interest (EOI) for non-ongoing (temporary) employment with the department as an Executive Assistant. The register enables the department to access suitable and experienced individuals for non-ongoing employment opportunities across a broad range of classifications and business areas at short notice. Your application will remain active until 31 March 2026 . Applications are not carried over after this time, you will be required to submit a new application for the Temporary Employment Register. The key duties of the position include Responsibilities of the Executive Assistant may include: Managing and organising the diary and emails including scheduling appointments and meetings, flagging urgent and sensitive emails and responding to meeting requests. Managing Branch/Division/Group coordination activities and assisting with workflow management, ensuring tasks are completed according to priority and deadlines. Providing support for the Branch/Division/Group as required (including accommodation/property needs, support for committees and coordination of requests such as Branch/Division/Group meetings and events). Anticipating logistical requirements for meetings, ensuring briefing materials are being prepared prior to Senior Executive attended meetings. Supporting procurement activities and payment of invoices as directed. Preparing correspondence, minutes and other written material as directed. Travel coordination and monthly credit card acquittals as directed. Providing system and process support across teams, committee support and possibly production of basic papers as directed. Liaising professionally with other areas of the department and external organisations.
