The Corporate Coordination Officer plays a critical cross-organisational role. This position assists the Director, Enabling Services to manage the OAIC's physical and virtual office environments and supports the Security function. This role provides diverse opportunities to engage across the functions of Enabling Services including Governance, Risk and Compliance, People and Culture and Corporate Services. Your communication skills expertise will be crucial in solving complex problems and managing various issues effectively. You will play a central role in developing, integrating, and maintaining policies, processes, programs, tools, reporting, and governance for our team. The successful candidate will demonstrate the following capabilities and qualities: • Strong organisational, problem solving and time management skills • Attention to detail and commitment to maintaining a tidy and well-organised office environment • Proactive, service-oriented team player who is willing to pitch in with both small and large tasks • Ability to apply discretion. The key duties of the position include 1. Oversee general office operations, including maintenance of shared inboxes, and act as the first point of contact for staff (virtually and in-office) for general enquiries and support, including provision of laptops and other equipment. 2. Undertake office-based tasks to ensure the smooth day-to-day running of the office by managing facilities, supplies, and general workplace operations, and creating a clean, efficient and welcoming environment for staff and visitors 3. Assist with the delivery of the security function (including physical and personnel security), including processing security clearances and liaising with AGSVA. 4. Liaise with suppliers and service providers to ensure office facilities are maintained and functional. 5. Provide general administrative support including mail handling, document preparation, invoice processing/payment, travel management and filing. 6. Assist with coordinating meetings, events and functions, as needed. 7. Monitor asset levels and assist with asset management 8. Actively engage with internal stakeholders to understand business needs and assist with and development solutions 9. Other duties as required.
