We are currently looking for a Venue & Events Senior Specialist to join our Venue and Events Team. About the team The Venue and Events team works across the organisation to deliver in-person and virtual events, conferences and meetings that educate, engage, and connect members. The team is responsible for delivering a diverse calendar of high-quality events for the Law Society of New South Wales, including conferences, forums, panels, networking functions, seminars, webinars, and flagship occasions such as gala dinners. The team also manages venue services including mediation and arbitration bookings, as well as hiring meeting and event facilities to external clients. About the role The Venue and Events Senior Specialist supports the end-to-end planning and delivery of external and internal events, ensuring exceptional client and member experiences. You will work closely with broader Society teams, and external stakeholders to ensure seamless execution and continuous improvement. What you'll be doing Event Management – Coordinate all aspects of event delivery, including briefs, timelines, workflows, milestones, budgets, reporting, and post-event reviews. Registration & Attendee Services – Manage event registrations, respond to attendee enquiries, and oversee payment and invoice processing. Venue & Supplier Management – Maintain and develop the venue database; source and recommend venues and suppliers; manage relationships to ensure value and service quality. Event Logistics – Plan and deliver event logistics such as run sheets, seating plans, AV, catering, entertainment, theming, floorplans, and building services. Marketing & Communications – Collaborate with Marketing & Communications to deliver event invitations, collateral, online content, surveys, and post-event engagement. Budgeting & Finance – Prepare, monitor, and reconcile event budgets; process payments and invoices. Onsite & Virtual Event Delivery – Provide hands-on support for setup, registration, and event delivery (onsite and online). Coordinate speaker briefings and technical checks as needed. Process & Policy Development – Contribute to ongoing improvement of systems, processes, and best practices. Collaboration & Stakeholder Engagement – Build strong relationships across departments and with external partners to support the success of the Society’s events program. General Administration – Manage event-related enquiries and provide support to the Venue & Events Manager and wider team as required. Other duties as necessary and assigned. About you Minimum 3 years’ experience in event coordination/management, ideally in a corporate, professional association, or similar environment. Proven ability to manage multiple priorities and deadlines in a fast-paced setting. Demonstrated experience in stakeholder and client relationship management. Experience with event budgeting and financial reconciliation. Exposure to team leadership or mentoring desirable. Experience with task management software, e.g. Asana (desirable but not mandatory) Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with event/venue management systems/webinar softare (e.g. Cvent, Priava). Strong written and verbal communication skills. High attention to detail with excellent organisational skills. Strong interpersonal skills with the ability to influence and collaborate. Positive, customer-focused mindset with a solutions-oriented approach. Professional, confident, and approachable. Highly motivated, proactive, and adaptable. Tech savvy with a willingness to embrace new systems and tools. Able to work flexible hours, including early mornings, evenings, or weekends as required. Reliable, punctual, and committed to delivering high-quality outcomes.
