Executive support roles in Services Australia provide professional administrative support to Senior Executives and their business areas to enable them to effectively carry out their duties. We may use this register to temporarily fill a range of Executive Support roles at the APS4 to EL2 level, such as Executive Assistants, Executive Support Officers and Executive Officers. These roles require high levels of professionalism, discretion, tact and diplomacy in dealing with sensitive and/or confidential matters. The key duties of the position include Executive Assistants and Executive Support Officers (APS4 to APS6) In these roles, you are responsible for diary management, including the coordination of meetings and appointments for a Senior Executive Service (SES) officer. This may also include organising venue and travel arrangements, preparation of supporting materials and providing secretariat support to meetings, committees and working groups as required. You will also be responsible for the management of communications and correspondence including monitoring emails and responding to enquiries where appropriate, collation and follow up of information, and tracking of high volume activities to ensure deadlines are met. Executive Assistants and Executive Support Officers may also provide administrative support in the preparation of briefs, reports, minutes and other correspondence, as well as records management, financial management and other general support functions. Executive Officers (EL1 to EL2) As an Executive Officer, you provide high-level strategic and operational support to Senior Executive Service (SES) officers on a wide range of issues affecting the Agency. You will be required to undertake varying tasks, depending on the operational needs and individual preferences of the SES. The roles are typically fast-paced with rigid timelines. You may be required to lead a small team of support staff to deliver outcomes, and there may be times when work is required outside the traditional 9am to 5pm workday. In this role, you will hold a position of trust and will be required to develop and manage professional relationships with senior staff and stakeholders, both internal and external to the agency. Maintaining close working relationships with the SES and their offices, the Minister's office, Divisional, and Branch representatives is critical. You may also be required to provide secretariat services for executive meetings and forums.
