About the role As the Support Coordinator, you’ll play a pivotal role in supporting the SAID team’s effectiveness through high-quality administrative, financial, logistical, and operational coordination. You’ll be the go-to person for documentation, systems, team onboarding, and communications support—ensuring everything runs smoothly behind the scenes. Reporting directly to the Senior Program Manager, this full-time permanent role is based in Sydney. In this capacity, you will help drive operational excellence and ensure best practice across our projects and partnerships. How you will make an impact Maintain robust document control and record-keeping systems to ensure compliance and easy access to key information. Assist Project Coordinators by updating project documentation, tracking progress, and managing project management systems. Review and refine SAID’s administrative processes to improve efficiency and alignment with best practices. Build and nurture relationships with implementing partners, support territories, and International Headquarters to facilitate seamless administration. Liaise with internal departments such as Finance, Communications, and Quality & Safety to ensure cross-functional coordination. Manage day-to-day office operations including scheduling, supplies, and general administrative tasks. Support financial workflows including processing payments, managing acquittals, and coordinating fund transfers. Lead onboarding and offboarding processes for new and departing team members, ensuring a smooth transition. Maintain and enhance the SAID induction manual to reflect current TSA and SAID protocols. Organise and coordinate team events and meetings, including the Program Advisory Group (PAG)—from invitations and agendas to minutes and tech setup. Provide technical support in Monitoring, Evaluation, Accountability, and Learning (MEAL) activities as needed. Contribute to SAID’s communications outputs including the Annual Report, website updates, and quarterly newsletters. Work closely with Fundraising and Communications teams to supply accurate and timely content that supports their goals. Manage SAID’s image and case study library, ensuring ethical use and proper documentation of visual assets.
