Our client is a fast-growing, people-focused professional services firm located in the heart of Melbourne CBD, seeking a highly capable Personal Assistant to support a senior Executive Manager and play a pivotal role in the smooth running of a high-performance division. Your new role Working closely with the Executive Managing Partner (EMP) and wider leadership team, you’ll provide top-tier executive support while overseeing the division’s operational and administrative functions. This role sits at the heart of the business - ensuring efficiency, uplifting culture, strengthening communication, and creating exceptional experiences for both staff and clients. Your responsibilities Support Act as the first point of contact for the EMP, managing communication with internal and external stakeholders. Proactively manage a complex calendar—rescheduling, prioritising and making executive decisions to optimise the EMP’s time. Arrange detailed travel itineraries (including interstate). Coordinate weekly sales meetings including agendas, reminders and reporting. Attend key leadership meetings, take minutes and action follow-ups. People & Culture Support Coordinate onboarding and offboarding processes. Manage internal events: annual retreats, quarterly social functions, client events and team celebrations. Oversee gifts, anniversaries, birthdays and team acknowledgements. Coordinate corporate hospitality allocations (e.g., Australian Open ticketing and client hosting). About You You’ll be an engaging, proactive and detail-oriented professional who enjoys variety and autonomy. You excel at anticipating needs, smoothing out operational challenges, and creating seamless experiences for leaders, team members and clients. Your Skills Prior experience as a Personal Assistant or Team Coordinator (professional services experience advantageous). Outstanding organisational skills and the ability to juggle competing priorities. Strong communication skills and a warm, professional presence. High proficiency in MS Office, CRM systems and ideally Xero. A collaborative working style and genuine passion for building great team culture.
