We are seeking a high-performing self-starter to fill the role of Executive Assistant to provide administrative support to the General Manager of National Security and Space (Senior Executive Service Band 1) and the General Manager of the Flood Warning Infrastructure Network Program (Senior Executive Service Band 1). The National Security and Space Program sits within the Bureau's Business Solutions Group and is the primary provider of environmental and space weather intelligence to sectors integral to Australia's national security, ensuring our partners have the right information at the right time to deliver their outcomes. The Flood Warning Infrastructure Network Program is responsible for the delivery of 3 high profile Bureau projects, relating to the uplift and improvement of Australia's flood warning network and the Bureau's flood warning service, to help communities be better prepared during flood events. The successful candidate will have strong interpersonal skills, a positive disposition and established service mentality. The candidate will have experience in handling sensitive and confidential information, including documents, briefs, submissions, and presentations. High level organisation and time management skills are essential to the role, including diary management, correspondence management, organising travel and meetings and the provision of external services. The key duties of the position include The responsibilities of the role include but are not limited to: 1. Complying with all Bureau work, health and safety policies and procedures, and taking reasonable care for your own health and safety and that of employees, contractors and visitors who may be affected by your conduct. 2. Provide administrative support to each General Manager. 3. Coordinate the tracking and reporting of Program objectives and key performance indicators using SharePoint, Microsoft Office, Microsoft Planner or similar. 4. Arrange and coordinate meetings with internal and external stakeholders. Coordinate room bookings, audio visual equipment and other resources as required. 5. Prepare agendas and meeting material, correspondence, presentations, and minutes, including the administration of critical, confidential, and sensitive information. 6. Inbox and diary management including prioritising and scheduling meetings, domestic/ international travel, itinerary and accommodation as well as telephone contact and email management. 7. Manage correspondence and preparation of replies. 8. Undertake minor open-source research on issues related to each Program. 9. Engage and collaborate with the EA Cohort.
