We are currently looking for an Executive Assistant and Commercial Communications Coordinator to join our Membership and Engagement team. About the team The Membership and Engagement Department is responsible for delivering meaningful value and connection to members of the Law Society of New South Wales across all segments of the profession. The department brings together five specialist teams: Content & Communications, Marketing, Venue & Events, Member Insights & Engagement, and Commercial Partnerships — to deliver an integrated member experience that promotes engagement, wellbeing, and professional growth. The Commercial Partnerships team oversees sponsorships, advertising, and member benefit programs, building partnerships that deliver value to members, partners, and the organisation. This includes managing advertising in Law Society publications, event sponsorships, and commercial partner relationships. About the role The Executive Assistant & Commercial Communications Coordinator supports both the Executive Director, Membership & Engagement, and the Commercial Partnerships team. You will contribute to the department’s overall success by providing high-level executive and administrative support, driving operational efficiency, and ensuring strong coordination across teams and stakeholders. What you'll be doing Provide proactive executive support to the Director, Membership and Engagement, including diary and email management, travel arrangements, credit card expenses, and document management. Anticipate priorities and prepare required documentation in advance, including briefings, agendas, and meeting papers. Draft, format and coordinate Executive and Council papers, memos and presentations. Attend key meetings, record accurate minutes and actions, and ensure timely follow-up of deliverables. Track and coordinate actions across the Membership and Engagement team to support accountability and delivery of strategic initiatives. Manage confidential information and documentation with discretion and professionalism. Support internal communication, planning, and scheduling for the Membership and Engagement leadership team. Manage all financial administration for the Commercial Partnerships team, including advertising bookings, invoicing, and payment tracking across classified, print and digital advertising. Collaborate with Marketing and Content & Communications teams to coordinate delivery of advertising placements and ensure contractual obligations are met. Administer Law Society Journal (LSJ) subscriptions (print and online), including handling enquiries, renewals, and distribution updates. Prepare and vet LSJ quarterly mailing lists and coordinate with external mailing house partners. Prepare mailing instructions and print purchase orders in collaboration with Law Society Journal (LSJ) team Manage LSJ Online Service Directory bookings, layouts, proofing, and invoicing. Coordinate ad hoc LSJ tasks such as giveaways, contributor invoicing, and dispatch of materials to staff, authors, and advertisers. Provide administrative support for event sponsorships, including compiling Sponsor and Exhibitor Briefs. Monitor and manage shared team inboxes, ensuring timely and professional responses. Undertake general administrative duties as required, including filing, mailing, stationery orders, and report preparation. Support preparation of sponsored content and other partnership deliverables as required. About you Demonstrated experience providing executive or senior administrative support in a professional environment. Strong organisational and time management skills with the ability to manage multiple priorities. Experience in financial administration, invoicing, or budget coordination. Excellent written and verbal communication skills. High attention to detail with excellent organisational skills. Proficiency with Microsoft Office Suite (Word, Excel, SharePoint, MS Teams, PowerPoint, Outlook) and experience with CRM or financial systems (e.g., NetSuite, Salesforce, HubSpot). Ability to work autonomously and as part of a collaborative, high-performing team. Professional discretion and ability to handle confidential information. Demonstrated experience in stakeholder and client relationship management. Professional, confident, and approachable. Highly motivated, proactive, and adaptable. Tech savvy with a willingness to embrace new systems and tools. A positive, proactive, flexible, collaborative and solutions-oriented approach.
