The Bureau's Enterprise Portfolio Management Office (EMPO) is part of the Strategy Program within the Enterprise Services Group. It provides enterprise-wide coordination, strategic guidance, and support across the Bureau's project, program, and portfolio management activities. The EPMO Portfolio Systems Coordinator supports the operation, configuration, and continuous improvement of the Bureau's project and portfolio management systems, including Microsoft Project Online, SharePoint, and the Microsoft Power Platform (Power Automate & Power Apps) This role enables project delivery by maintaining and governing digital environments that underpin the Bureau's project lifecycle - ensuring data accuracy, workflow reliability, and compliance with enterprise portfolio standards. The position provides technical configuration, governance support, and user enablement. The role contributes to the refinement of system processes, assists with user training, and promotes consistent, high-quality data practices across the EPMO. This position reports to the Portfolio Systems Lead within the EPMO. The key duties of the position include Administer, configure, and maintain portfolio management systems, including Project Online, SharePoint, and Power Platform components, ensuring reliability, accuracy, and alignment with EPMO standards. Support project teams through system enablement - creating and managing site structures, permissions, lists, metadata, and automations to support project planning, reporting, and lifecycle governance. Support EPMO core functions through establishing automated workflows using tools such as Microsoft PowerApps. Provide user guidance and technical support, helping staff understand how to use Portfolio Management Information System (PMIS) tools effectively. Collaborate with the EPMO Portfolio Systems Lead to identify and implement system enhancements, including data structure optimisation, workflow automation, and integration improvements. Maintain governance documentation, templates, and metadata standards to ensure consistent use of project systems across the Enterprise Portfolio. Assist with testing, data validation, and defect resolution during system upgrades or transitions. Contribute to training and communications material that improves system literacy across the Bureau's project community. Participate in internal forums and continuous improvement activities that strengthen project governance capability. Ensure all activities comply with Bureau requirements, including records management, ICT security, and data policies. Uphold Bureau workplace obligations, including Work Health and Safety responsibilities, APS Values, Employment Principles and the Code of Conduct.
