Position Title Administration and Finance Support Officer Team Finance and Support Services Term of Position 12 months’ fixed term. Reports to Finance Manager Direct Reports Not Applicable Location 673 Bourke Street Melbourne, with Flexible Work Arrangements an Option Classification Part time fixed term. 0.4 FTE equivalent with potential to increase hours. We’re a small, effective network of community development offices throughout Asia and the Pacific that implement community-based development projects focused on climate resilience, nature-based solutions, inclusion, and wellbeing. The Position The position sits within the Finance and Support Services function which is responsible for the effective and efficient internal operations, audit and risk compliance, reporting, IT support and general administration including procurement. Team members work closely with their colleagues to support funding programs and service delivery. This role is responsible for providing comprehensive administrative support to the office while also managing core financial tasks. In addition, a key component is providing first-level IT support to ensure the smooth technological operation of the office. Main Accountabilities Finance Support Maintain and update accounts payable and receivable records, ensuring accurate data entry to support invoicing and payment processing Assist in preparing financial reports, budgets, and reconciliations Organize and maintain financial records, supporting documentation, and ledgers Assist with advances, reimbursements, and other routine finance transactions Office Administration Oversee office operations, including logistics, procurement, and resource management Maintain office records, inventories, supplies, and equipment Prepare and update the Fixed Asset Register quarterly Act as a point of contact and support for internal staff and external visitors. Information Technology (I.T) Support Provide onboarding and offboarding I.T services and support for staff including set ups, induction and retrieval of equipment as required. Provide day to day help desk, troubleshooting support. Work closely with the I.T. Specialist (offshore position) to provide first-level technical support to staff for hardware, software and network issues. Work closely with the I.T. Specialist to install and configure software, hardware and network issues. Maintain an inventory of I.T. equipment. Assist with managing the organisation I.T. systems and ensuring data security. Other Promote a positive safety culture and lead by example. Key Selection Criteria Demonstrated experience in undertaking administrative and general office activities either independently or as part of a team and identifying opportunities to improve administrative processes and systems. Demonstrated experience using financial systems e.g. MYOB, including accurate data entry and the preparation of reports. Demonstrated experience in supporting day to day I.T activities including coordination distribution of I.T assets and troubleshooting e.g. performing a helpdesk function. Strong attention to detail. Exceptional planning and organisation skills Demonstrated ability to establish and maintain relationships with a wide range of people both internal and external. Qualifications and Clearances Essential: Certificate IV in Business Administration (BSB40120) or equivalent. Valid Working with Children Check. Australian National Criminal History Check Clearance. Desired: Bachelor of Business or Equivalent.
