Work Days of the Role Flexible Hours of Work of the Role 15-20 hours Description We are looking for an experienced and efficient administrative assistant with knowledge of child care CCS software systems to work between 2 services and assist us with the efficient administration of the service in accordance with all applicable legislation including the Education and Care Services National Law and Education and Care Services National Regulations General responsibilities Administrative assistance to the Approved Provider and Nominated Supervisor as required General administration duties and preparation of appropriate reports Word processing and secretarial duties as required Liaison with external organisations such as the Department of Education and Training (DET), and local government as directed Maintain administrative records and perform other duties as directed by management To be familiar with, and adhere to, all policies and procedures of the service Ensure Child Safe Standards are adhered to at all times Specific responsibilities Administration Record, sort and distribute incoming mail; record and post all outgoing mail; Process minutes and action sheets from parent and staff meetings, and distribute to all parties involved. Assist the approved provider to meet the requirements set by DET within the required time lines, including child care rebates, financial accountability requirements and all data collection forms Assist with enrolment enquires and procedures such ass submitting weekly attendance record, book/conduct tours, manage waitlist systems. Staff Work cooperatively with the other staff in the service Attend workshops and professional development approved by the approved provider Work cooperatively with the management and all staff to ensure the service operates in a safe work environment and that employees adhere to all service OHS safety procedures.
Essential requirements Ability to prepare budgets, reconciliations and day-to-day financial management of the service Experience in bookkeeping, administrative work, knowledge of office procedures, filing and record management Ability to work as a member of a team and with management and staff, and effective communication skills, including both written and verbal skills Ability to plan and manage tasks effectively Computer literacy and ability to use a computer bookkeeping package Be able to fill the position Nominated Supervisor or person in a leadership position or day-to-day charge if required by the Approved Provider in accordance with the Education and Care Services National....
