Background: The position is responsible for the smooth running of the corporate services office including the answering of all incoming calls and meeting and greeting all visitors to the Office. Manage all the office administration issues, procurement for corporate services, solve IT problems or contact IT technicians to solve problems. This pivotal role will ensure secretarial support is provided to the Head of HR & CS Department, and will act for administrative and office related support.
Key Responsibilities: Arrange meeting rooms’ usage, greet all visitors and do the services for the meeting and visitors. Create and maintain efficient filing systems for primary documents and other hard copy files for the department requirement. Daily office tasks including answer phone call, ordering supplies, collecting and sending mail, courier, arranging office maintenance and office shopping.
Ensure a high level of cleanliness within the office, arrange necessary repairs. Organise or assist with office events and functions. Book flight, hotel, restaurants as request.
Arrange Senior Executives visit， company trip and do the services, including airport, hotel pick-up and drop-off, check in for the flight or hotel and so on. Company vehicle management, vehicle log management, vehicle maintenance, car wash arrangements, etc. Assist to maintain ISO quality management accreditation, and Risk Management processes and practices.
Assist to ensure working environment safety in terms of WHS. Procure or order food, beverage, stationeries, furniture, business cards and, etc Solve or contact IT provider to solve IT problems, including hardware, software, and other IT problems. Support or contact IT provider to support desktop maintenance, including peripheral and software distribution, and security maintenance, including virus updates and patch management.
Optimize IT system, hardware and software. Relocate IT equipment including desktop computers, printers, monitors, and other general peripherals. Maintain good relationships with office vendors and service providers, including our outsourced IT provider, so that the best price negotiation can always be made.
Do translation according to the needs of the superior. Assist some human resources related matters, such as interview arrangement, translation. All kinds of Human Resources, Corporate Service, IT payment, all kinds of OA initiation for the department.
Other duties, consistent with the broad spectrum of the position, as required and directed by the department head. Any other tasks as directed. Qualification Tertiary qualifications in IT, business or related discipline.
At least 2 years’ experience as an administration officer or IT Support. Strong English and Mandarin language skills are mandatory. NAATI (English-Chinese)-accredited is preferable.
