About the role We are seeking a highly motivated and organised Executive Assistant, to provide high quality secretarial and administrative support services to the Director. Our ideal candidate will need to demonstrate initiative, have strong interpersonal skills, developed organisational and time management skills and the ability to operate autonomously with minimal supervision. The Executive Assistant will also be required to demonstrate high levels of attention to detail, as well as prioritise and coordinate tasks to enable the best allocation of the Directors time and resources.

This challenging role will appeal to those with previous industry experience and exposure to a multidisciplinary team environment with a strong focus on confidential administration. Key Responsibilities: Implement systems and processes to identify, track and follow up on outstanding actions, correspondence and issues to ensure tasks are completed within the required timeframes. Effective diary management, coordination and scheduling of business meetings and clinical reports to ensure efficient use of the Directors time.

Transcribe dictation by phone or in person Act as first point of contact on behalf of the Director by screening, reviewing and prioritising incoming telephone calls, emails and reports to ensure the management of correspondence reflects the Directors priorities. Preparation of high-level documentation including executive correspondence, meeting minutes, agenda's, action items, presentations, and reports. Ensure high integrity, accuracy and confidentiality of records and database management.

Contribute to process improvement strategies and initiatives. Coordinate a range of correspondence to ensure that all business information is accurate and confidential. Essential Skills Highly developed planning and organising skills, including the ability to proactively problem solve.

Impeccable interpersonal and communication skills, both verbal and written including an exceptional level of attention to detail. Strong written and oral communication, including preparing well-structured correspondence that is clear, succinct and accurate. Time m.
