Description As the successful Executive Assistant you will have the key responsibilities: Keeping interview/meeting rooms tidy at all times (removing items & cleaning up after all meetings to ensure the room is ready for use again) Acting as a confidential assistant to the MD Supporting the MD to work as efficiently as possible Providing accurate and efficient administrative support to the MD Facilitating efficient team work within the team, and communications and/or activities with all other parts of the business Produce general correspondence, memoranda and reports accurately and efficiently Administer the MD's diary with internal and external meetings Communicating on the MD's behalf with organisational executives and executives of external organisations Arranging the MD's travel and other business arrangements eg appointments Handling enquiries and re-routing urgent matters for attention in the MD's absence Responding, where possible, to inquiries on behalf of the MD Communication of key activities/messages as required Compile various reports and statistical data as directed Record and distribute minutes of various meetings Co-ordination of conferences, team functions for all Support Office including board meetings Providing a central point of coordination for team issues such as leave, requisitions, approvals etc Proactively improve processes to maximise administrative efficiencies Build and maintain strong working relationships with other departments To ensure you act accordingly, and as a role model, in this position Customer complaints are to be handled by the MD only.

Confidentiality of all matters dealt with by the MD and senior management team must be maintained at all times both within the business and outside of the business Assisting all departments with everyday tasks as required including; faxing, typing and filing Preparing monthly Board Reports from all departments into one conclusive document for Board Members Expense management for MD each month Profile Skills and Qualifications: Strong communication skills at all levels To maintain an efficient typing speed with at least 95% accuracy Strong computer skills, including Word, Excel, PowerPoint and Outlook Experience in im.
