GENERAL FUNCTIONS AND TASKS Respond to all inbound calls and inquiries schedule all jobs. Respond to and manage inbound operational inquiries / communications. Support improving stock accuracy and warranties Allocate materials and tools required for jobs Coordinate on site access for jobs Coordinate with installer and apprentices regarding jobs and use of Simpro Preparation of weekly/monthly reporting i.
e. Operational Support employee engagement program i.e.
tool box meeting agendas/actions, keep white board current Ensure all employees and sub-contractor records are maintained accurately and in a timely manner Establish and maintain processes and procedures for scheduling department in consultation with management Ensure maximum office discretion and confidentiality at all times KEY CONTACTS Internal with all Laser Rowville people in relation to all operations, office and admin functions etc. External with all the customers in relation to all job inquiries, then Debtors and Creditors in relation to payments KNOWLEDGE AND EXPERIENCE Requires sound operations and administrative ability High level of computer literacy especially with computerised job management systems eg Simpro, MS Office particularly excel Relevant qualifications ie Operations, Sales, Administration or Accounting preferred but not essential Must have the ability to negotiate and deal with various situations MEASURE OF RESULTS All jobs scheduled or clarified in follow up notes within 48 hours of inquiry / job creation. Respond to and manage urgent inbound operational inquiries / communications within 24 hours eg.
