Administration Officer, Community Facilities Management   1 x Permanent Full Time - 35 hours per week, 5 days per week Salary: $62,535.14 to $68,369.29 pa super Location: 52 Scott Street, Liverpool Closing Date: Tuesday, 27 November 2018 An exciting full time position exists in the Community Facilities Management Section providing high level quality administration to support the efficient and effective management of Council’s community facilities.

The Business Unit The Community Facilities Management Business Unit manages the strategy, planning, operational implementation and evaluation of a broad range of community programs, functions, events and services. The Unit manages community use of Council’s buses, community centre assets and facilities. The business unit is providing an opportunity for professional development, and is offering challenging and engaging work.

The Role and Responsibilities Reporting to the Coordinator Community Facilities Management, the Administrative Officer is responsible for the daily operational management of bookings for Council’s community centre’s and buses, providing day to day support as part of a team to ensure high service delivery. This position will require the delivery of excellent customer service, high level of assistance to hirers and clients, ability to work with a diverse range of individuals, providing information on Council’s procedures, fees, payment methods, services, etc.

The role will undertake administrative duties associated with the operation of Council’s community facilities including however but not limited to increasing utilisation through bookings, preparation of outstanding accounts, creating and updating databases, expression of interests and mail outs. Assist in the development and coordination of procedures and templates Proficiency in the operation of various computer packages e.g.

Pathways, TRIM, Outlook, Microsoft Office, and Tech One. The position will also assist with the administrative support to the facilities cleaners and coordinate work activities with other team members to achieve targets, optimise work outputs and achievements for the section and Council. Key Responsibilities Confident in accurately maintaining and updating the facilities booking systems, databases and registers related to all clients utilising Councils community centres.

Provide information as requested by the public, community and Council Officers as required. Coordination of booking requests, payments and financial processes. Customer relationship management.

Maintaining and improving ongoing relationships with clients. Proven excellent organisational skills with the capacity to manage multiple tasks and work under pressure, maintaining attention to detail whilst meeti.
