AO3 Administration Support Officer (Investigations)
The Role Provide accurate and timely administration duties including scanning, filing, photocopying. Act as the first point of contact for the team - directing phone calls and managing the team inbox Assist in the management of incoming and outgoing documents and correspondence Provision of administrative support to the team including ad hoc project assistance Provide accurate and timely general administrative assistance to staff and management within the Investigations Division, including scanning, photocopying, filing and the creation/opening/closing of case management files. Assist with the preparation and distribution of various internal and external correspondence Utilise and manage the case management database (Resolve) to provide timely and accurate administrative assistance to investigations and monitoring staff, including data entry, collection of data and presentation of data to assist staff with reporting, trend analysis and case management.
Provide administrative support to monitoring officers including monitoring activities such as open source intelligence gathering, and the monitoring of incoming statutory declarations including checking of due dates, sending reminders and updating the case management system. Provide operational planning support under the direction of the Principal, including drafting and updating of process documents including workflows and work instructions, and secretarial and scribe support for various internal and external meetings and recruitment processes. Assist with the development of improvements in administrative business processes to ensure the effective and efficient functioning of the Investigations Division.
To be considered for this role you will demonstrate: The ability to multi-task and work to multiple deadlines. Demonstrated ability to work autonomously or with minimal supervision, meet deadlines, organise work priorities and maintain confidentiality at all times. Recent experience in a similar role.
