This position is responsible for the coordination and administration for Corporate legal team. This is a permanent full-time position based in our head office in North Sydney Reporting to the Legal Manager, you will be responsible for: Managing the team’s in-house document management system Arranging meetings and managing calendars Managing excel matter lists and filtering weekly tender analysis spreadsheet Managing receipt and payment of law firm invoices, including preparing reports and ensuring compliance of law firms with internal procedures Preparing reports and statistics for Board papers and other internal governance processes Editing subcontracts prepared by lawyers from I-Deal docs to correct formatting issues Receiving and distributing incoming mail and arranging the dispatch of outgoing mail; Answering and directing incoming telephone calls to legal team or taking and passing on messages; and Providing ad-hoc administration support/ reception cover as required To be successful in this position you will have: Minimum 3 years prior experience providing administrative support to a legal team in a fast-paced working environment Excellent IT skills and proficiency Proficiency in using Microsoft Office i.e.
Excel, Word, PowerPoint and Outlook and other cloud based IT systems Strong communication and interpersonal skills with a flexible mind set Ability to work autonomously and effectively within a team Ability to create and maintain positive relationships with employees, internal BU clients, external clients and other key stakeholders Ability to plan, prioritise and schedule own work to meet required timelines Ability to appropriately handle and exercise discretion when dealing with sensitive and confidential information A reliable professional, who is resilient and eager to learn.
