Co-ordinator Enrolments and Fees

Academic Services Division HEW level 7 Continuing position Closing date 22 November 2022 at 11.00pm AEST (R-18953) About This Opportunity The Co-ordinator, Enrolments and Fees co-ordinates key operational processes, reviews and designs business processes to ensure operational tasks are conducted economically and efficiently with accuracy, avoiding duplication of effort and providing service of the highest standard., and co-ordinates functional aspects of development, implementation and operationalisation of specific system enhancements and changes to policies and procedures.

The Enrolments and Fees team provides a centralised student fee and enrolments service, including administration of approved student fees and enrolment processes and changes, related policy advice, systems support and publications. The Co-ordinator Enrolments and Fees reports to the Senior Manager, Enrolments and Fees, with a functional reporting line to the Manager, Student Enrolments and Manager, Student Fees. Key responsibilities include: Duties and responsibilities include, but are not limited to: Co-ordinate the Removal of Course applications to ensure optimal use of available resources and timely finalisation of applications by: monitoring workloads and identifying resource requirements; allocation of cases for investigation and preparation of draft decisions; monitoring progress and escalating issues as they arise; and providing training to new and existing staff in the Removal of Course process.

Plan, organise and co-ordinate the SI-net and manual outstanding student fees liability processes including: identification of students with outstanding fees; ensuring relevant communications (system and manual emails, SMS reminders and callouts) are completed on schedule; and applications for extension to fees due date are processed in a timely manner. Work with the Co-ordinator, Student Fees, to ensure outstanding liability processes are integrated with processes for management of fee discounts and rebates and TCSI reporting, to deliver a seamless student experience. Identify and drive business process improvements to meet strategic objectives and the provision of a high level of customer service by: analysing business processes; identifying key operational requirements and issues; refining/redeveloping business processes with a view to streamlining and optimising use of available systems and streamlining through digitisation and automation.

Provide day to day supervision and leadership to team members in conjunction with the Co-ordinator, Student Fees. Conduct performance appraisals for direct reports, identifying staff development and training needs, ensuring upskilling of staff for sufficient coverage during periods of leave, and for current and future operating environments. Provide guidance and advice on policy, procedures and legislation to team members to assist in resolution of issues as they arise.
