Hays Australia REM APS4 Administration and Project Support Officer Your new company This busy division of a Federal Government Department is responsible for Australia’s security operations and policies, including bilateral relations, relations with regional and international organisations, free trade negotiations as well as overseas aid programs. Your new role Your new role as an APS4 Administration and Project Support engaged for an initial 9 month contract. The branch partners with groups, services and job family sponsors to understand business intent and provide cost effective learning and development solutions to meet capability requirements and improve business performance.
The Administration and Project Support role will provide support to all team members across all Directorates and will contribute towards achieving various initiatives outlined in the business plan. The successful applicant will be required to provide high-level administration and project support services and play an important role in the effective management of the office and across the Division. Your day to day duties will include: Records management and overseeing team reporting templates Coordinating, responding to and/or distributing incoming correspondence Supporting various team projects such as gathering information, drafting correspondence and various project documents Calendar management Providing secretariat and administrative support to the wide range of meetings and forums What you'll need to succeed To be successful in this role you will have excellent interpersonal, communication and coordination skills.
You will have experience establishing good relationships with stakeholders and staff, build wide and effective networks of contacts, and adapt your interpersonal style to suit different people or situations. You are an excellent multi-tasker, able to quickly adapt to new challenges and stay organised in a fast-paced environment. You have excellent attention to detail and have the ability to effectively follow procedures and policies.
Excellent time management skills and ability to manage competing priorities Good written and verbal skills and ability to develop positive working relationships with a wide range of stakeholders Customer service orientation and willingness to look for positive outcomes and improvements Expertise with standard Office programs Ability to coordinate and collect input, consolidate feedback and draft documents using standard templates Provide project support across a range of projects and initiatives Undertake quality assurance and provide recommendations on administrative processes An Interest in learning, development and capability. Desirable Skills: Qualifications in Human Resources or Learning & Development, Business Administration, Office management, Project Management. Previous experience in similar role.
