The National Trust of Australia (WA) Property Management and Leasing Officer Level 4 GOSAC Award Position No: 110 Work Type: Fixed Term - Full Time Location: West Perth Closing Date: 2021-08-26 5:00 PM (YYYY-MM-DD) JOB DESCRIPTION: This role focuses on four key areas of lease and property management: procurement and management of market reviews to optimise lease revenue; coordination of leasing requirements to ensure lease conditions are met; lessee liaison and supervision of property management services to meet planned and unplanned maintenance requirements of the National Trust's asset portfolio, including buildings, grounds, equipment and machinery associated with the property portfolio. DUTIES AND RESPONSIBILITIES: 1. Working closely with the CFO, carries out the procurement and market review of National Trust leases and liaises with the current lessees to ensure optimisation of lease revenue and that conditions of current leases are met; 2.
Responsible for coordinating lease documents with the solicitors and managing the approval process from the Minister of Lands as per legislation; 3. Assists in coordinating EOI processes for new leases ensuring all National Trust stakeholders are included; 4. Assists the management team to respond to customer enquiries related to leasing activities and provided advice and assistance to customers on all aspects of leasing; 5.
Liaises with other government departments, real estate agents, valuers, tenants, community organisations. local Shires and Land Information Authority (Landgate); 6. Oversees operational property management, care and maintenance requirements of the National Trust's asset portfolio including buildings, grounds, equipment and machinery associated with the property portfolio; 7.
Responsible for contracts and performance of external property managers, including short-stay accommodation agents, in relation to leases, property management and maintenance issues; 8. Oversees procurement and management of planned and unplanned maintenance contracts for leased and non-leased properties where there is no managing agent and ensures compliance with National Trust procurement and record keeping policies; 9. Coordinates lessee requests for major and minor works in association with the conservation projects team to ensure compliance with heritage legislation; 10.
Liaises with property volunteers and wardens through the Volunteer and Place officer in relation to property management and maintenance issues at non-leased places; 11. Assists with the development and management of budgets for property management and maintenance, including incurring and certifying the payment of accounts, recoupment of costs as per lease agreements and assisting with insurance requirements (claims, Certificates of Currency, questionnaires and assessments); 12. Undertakes site visits including regional properties as required; 13.
