Hays Australia REM Seeking AO5 Executive Assistant until 21st May 2021 for a temporary role – highly likely to be extended Your new company You will be working for a busy Department providing a very high level of administrative, secretarial and project services to the Senior Director, School Improvement and Leadership (SIL) Big Rivers and Barkly regions. Your new role The position is responsible for the organisation and coordination of meetings, preparation of documents and materials for executive meetings, diary management, travel bookings as well as providing high level administrative and secretarial services within a fast-paced environment with frequently changing deadlines and priorities. This position requires the successful applicant to demonstrate high level interpersonal skills with a wide range of internal and external stakeholders.
It requires a person who is experienced within Government as an Executive Assistant, who remains calm under pressure, is well organised, adaptable. Your day to day duties will include: Ensure a highly professional and efficient approach to the management of services to the Senior Director SIL at all times. Provide the Senior Director SIL with high level secretarial and administrative support (including quality assurance review and processing of all correspondence, electronic records management, initiating and managing follow-up action to ensure deadlines are met, scheduling appointments and meetings, compiling and distributing meeting papers, taking and preparing minutes).
Liaise effectively and discreetly with all levels of staff within the department, the Minister’s office, other agencies and non‑government organisations. Carry out projects, research issues, represent and provide other assistance to the Senior Director SIL and leadership team as required. Act as executive officer for principal selection panels, principal performance reviews, critical incident response teams and other emergent priorities as required.
What you'll need to succeed To be successful in this role you will be required to have previous experience as an Executive Assistant within a Government Department and possess excellent interpersonal, communication and coordination skills. You must also be immediately available in order to start ASAP You will also possess the following: Proven effective experience in using administrative and secretarial skills at the executive level, including attention to detail and the ability to be discreet, maintain confidentiality and discern sensitive issues. Demonstrated sound organisational and problem-solving skills with a demonstrated ability to work independently and flexibly under pressure to complete tasks accurately and within required timeframes.
